We have an exciting opportunity to join our team as a Grants Manager.
Responsible for working closely with prestigious basic and clinical researchers along with the divisions administrative management team and be responsible for the financial and administrative management of all research grants and trials within Department of Medicine.
- Assist in the preparation of and review all grant budget submissions to ensure compliance with departmental policies; coordinate pre-award grant submission process within the division and assist in other pre-award functions; liaise with internal administrative offices and external funding agencies regarding budget, financial, or administrative issues related to grants; review research contracts;oversee grants post award, including the setting up of research accounts, monitoring spending on grants, assisting in yearly reporting, and handling other issues that arise; keep up-to-date on research funding opportunities and federal policies; notify division on policy changes; track grants submitted, awarded, and currently active; work with the divisions management team on initiatives to improve grant process and monitoring such as creating a divisional grants database; support budgeting and fiscal monitoring of clinical trials; Work on other clinical and basic research grant and clinical trial related issues as assigned.
- Processing and Review of Grant Proposals – Enters data for all proposals reviewed & maintains electronic database pertaining to applications. Reviews budgets to ensure appropriate sponsor and School of Medicine Guidelines have been addressed. This includes making sure that all budgetary items requested are in compliance with the sponsors guidelines and confirming institutional salaries. Follows up with investigators and/or administrators where necessary. Keeps up to date on Federal policies and notifies Administrator/Director and management team of changes. This involves weekly review of the Federal Register and NIH websites. Prepares monthly reports of application activity. Prepares customized reports as requested
- Faculty Assistance – Assists faculty and administration in preparation of budgets. Discusses sponsor policies with investigators and administrators and prepares excel spreadsheets with revised budgets. Assist Administrator/Director to provide policies and procedures, compliance information and data to faculty. This is done by e-mail notification to investigators; paper notification, and forwarded to the information technologist to be posted on the website. Responds in a timely manner to faculty requests for information.
- Application Resource Management – Assists in maintaining sponsor files. Assists in ensuring that federally sponsored program files and information are up-to-date. Assist in the development of internal policies pertaining to grants and contracts. Keeps current with sponsor policies to address responsibilities of the grants office and discusses workflow processed with the team to ensure efficient processes are in place.
- Compliance Approval Information – Review compliance databases and updates applications databases. Certifies that any pending compliance issues for sponsor have been addressed. In response to requests from sponsors, follows up with the investigator to address appropriate compliance issues. Prepares forms or letters of certification of approvals and grant application packets for signature by the Division Director and then submits to Dept for review/approval, and then to the Office of Sponsored Research. Notifies faculty impending approvals to submit protocols to appropriate institutional committee.
- Tracking Outcome of Pending Applications – Ensures that tracking of pending application is up-to-date. Follows up with investigator regarding status f application. Updates application database. Ensures files are complete for awarded applications. Follows up with investigators and/or administrators regarding missing information.
- Reporting – Prepares monthly summary reports of applications submissions and outcomes to Administrator. Tracks and monitors all monthly revenue and expenses on grants. Will raise any concerns/issues to the Administrator/Director. Queries application database in response to specific requests and prepares customized reports. Communicates the needs for new policies and procedures to supervisor within a reasonable time. Communicates reason for delay in accomplishing a task to supervisor within a reasonable time. Meets regularly with Administrative Director to review pending proposals and actions to be taken.
- Post Award – Ensures all grants are logged properly and accounts are successfully created with SponsoredPrograms Administration.Ensures all awards received match the budgeted amount. Coordinates all no cost extensions and carry over fund paperwork and documentation.Ensures all program are invoiced appropriately and timely. Ensures all FSR and Financial Reports are prepared and submitted as required by sponsoring program. Makes all necessary budget revisions and payroll allocation revisions for grants as necessary and as indicated by the Administrator/Director.
- Clinical Trials – Responsible for reviewing all clinical trials programs on a regular basis, including preparing a report to compare contracts to actual. Responsible to work closely with PIs to negotiate deals with sponsors to ensure they abide by NYU SOM regulations, must coordinate with Administrator and Director for this purpose. Responsible for working closely with the Nurse and Research Coordinators to manage expenses for clinical trials programs, as well as to ensure that revenue related to enrollment are received and match contracts. Acts as a liaison with the Office of Clinical Trials to ensure program are tracked and invoiced appropriately
Bachelor’s degree in Public Health, Health Administration, or MBA preferred. Five years experience in administering grants or research projects, preferably within an academic health center.
Working knowledge of the fundamentals of clinical and non-clinical research preferred. Master’s Degree preferred
